Project Coordinator - Louisville, KY
As a Project Coordinator, focused on supporting organizational activities for customer unique and tailored projects, you will aid Internal and External stakeholders with the overall customer experience by managing the project life cycle from order entry through invoicing. The right person for this role loves to organize information, understands the importance of accuracy and is eager to learn and grow. Education, Experience and Attributes:

Major Functions of the Position:
- Order Entry process
- Vendor Contact for projects
- Backlog integrity
- Communicate project updates to team
Essential Duties:
- Collaborate with internal and external stakeholders from inception to implementation of projects.
- Managing the order entry process, with the focus on data integrity, which includes reviewing order documentation, purchasing, acknowledgements & customer invoicing.
- Creating Work Orders for product to be delivered/installed.
- Run progress reports and create tracking spreadsheets to promote information transparency/accountability (especially on large projects) with Sales, Project Manager and Operation Scheduling.
- Perform weekly progress meetings for order status/progress.
- Follow-up with customers on outstanding A/R’s
- Provide invoicing projections for Management
- Send and track team customer satisfaction surveys
- Performs other responsibilities as requested for team and accounting
- Provides some sales support duties for assigned salespeople

Project Manager - Contract Furniture/Specialty Contractor
Project Manager reports to Operations on a functional basis, and to location team leader on a project-specific basis and works closely with sales and design personnel. The PM handles quoting or asking for quotes for Specialty Contractor and Interior Construction projects. The PM is involved in everything from design concept to final installation and billing. Will coordinate installation personnel, trucks and deliveries with Project Coordinator, and/or installation subcontractors. Attendance at project meetings internally and with customers or contractors is necessary, with minutes/notes and status reports distributed to all involved. Arranges for other trades and specific equipment if needed. Gantt charting and other Project Planning documentation may be needed for specific jobs. Developing full scope of work and contract/budget management is a primary focus. Will manage change orders and punch lists with customers and follow through to invoicing. Some work outside of normal business hours may be needed. Day and overnight travel may be needed. Must be willing to work evenings and weekends if needed.
Education, Experience and Attributes:
- Must be physically capable of visiting job sites before/during/after construction, remodeling, and installation.
- OSHA 10 certification is required
- Must have strong organization and time management skills.
- Proven experience of construction industry.
- Familiar with quality and health and safety standard onsite.
- PMP or equivalent certification will be an advantage.
- Basic computer skills with MS Word & Excel required, as well as the ability to learn and use ID&A’s Daily Business Operating System (CORE)

Essential Duties:
- Communicate verbally and in written format with architects, engineers, designers, contractors, subcontractors, and customer contacts. Familiarity with using business email to communicate with text and documents is required.
- Manage multiple projects and multi-task in fast paced environment.
- Prepare scope of work and scope verification, installation budget, project timelines, activity sequencing, project status reports and meeting minutes.
- Contract management, labor estimating, budgeting, controlling, and tracking of expenses. Perform budget analysis at job completion.
- Knowledge of codes, permits and licenses needed for deliveries and installation from appropriate authorities.
- Knowledge of construction methodologies and procedures.
- Supervise subcontractors and give guidance when needed.
- Responsible for helping maximize appropriate installation work, through seeking cost reduction, cost control, negotiating change orders when appropriate, and helping to increase revenue.
- Develop and manage internal project team, including sales and design.
- Assumes project risk management to identify, analyze and respond to challenges on the job in the timeliest and most cost-effective manner.
- Must be skilled in reading specifications/drawings.
- Advise of new product ordering, shipping and phasing based on customer and contractor requirements.
- Responsible for final walk through, punch list resolution and customer satisfaction at job completion. Responsible for training ID&A’s installation subcontractors on our Receiving, Delivery, Installation and Punch List Processes.
